As your renewals approach, we wanted to provide you with a brief overview of what to to expect during renewal, at renewal, and after the renewal.
During the renewal process, we may reach out to you for information to make sure your policies are still providing the coverages you need. Some of this information may include the following:
- Anticipated Gross Revenue over the next 12 months.
- Number of employees and estimated payroll
- We may also reach out for more specific job duties.
- Have you experienced in changes in operations? Are you performing new types of work?
- Have you acquired any new vehicles or equipment? Do you need to add any new drivers?
- Have you acquired any new buildings, or made additions/changes to buildings you already have?
- Have you acquired any other entities?
At Renewal time, we may need to collect a few things from you, and you may need a few things from us. Here are some of the things we may need to wrap up at renewal time:
- Payments and signatures on new policies- Some policies will require us to collect payment from you at renewal. Some may also require updated signatures. Your account manger will reach out if this is necessary.
- Policy Delivery- Your renewal policies will either be delivered by email (from your account manager), postal mail direct from the carrier, or through the carriers direct online portal.
- Certificates of Insurance- If you need any certificates issued, please let us know.
After Renewal, your prior policies may be subject to a premium audit. Not all policies will be audited. However, if your policies are audited, you will be contacted by an auditor representing your prior carrier. The auditor may request some of the following information:
- Payroll records
- Description of business operations
- Details about sub contractors you used, and copies of the certificates of insurance you collected from them.
- Safety and risk management documents
- Certain tax documents
